The IT Industry places great emphasis on the habits of being on time and prepared. This can be demonstrated in virtually any context, which involves the time factor, for example, attending meetings. In the present times, when the value of time is perhaps appreciated more than ever before, being on time and and delivering results on schedule, every time, assumes greater significance. In this context, planning and scheduling skills are important. You must be realistic in planning for activities, prioritizing and scheduling them and also set aside some buffer time for meeting any contingencies. For example, if you have to deliver part of a project at the end of the day, you must identify the activities to be completed, say making calls to clients, testing your application for errors and generating reports, prioritize these in terms of importance and allocate time for each. Remember Do First Things First.

Apart from the fact that you that you must be on time for any meetings or commitments, you must also be prepared for the occasion. For example, you may have to do your homework, compile data, or go through related materials, before attending a meeting, so that the time spent is most fruitful an utilized.

The following checklist would help you go prepared for meetings:

- Go through the agenda
- Confirm the venue, room, etc.
- Know the chairperson
- Familiarize yourself with the topic
- Compile all the papers to take to take along
- Complete any preparatory work required
- Prepare for any presentations
- Organize copies of presentation for distribution
- Have all the stationary ready (papers, pen, calculators, etc.)

Tracking Urgent vs. Important

Often you might be in a situation to decide on which tasks to accomplish first. Examples of urgent tasks could be, say, catching a bus, pacifying a client, putting out a fire, while important tasks would be, say, learning to drive, looking into customer’s problems, or making a place fire-proof. The important but not urgent things involve planing, diagnosing, training, delegating and investing. Therefore they often take a large amount of time and the results may not be shown immediately.

One of the most common factor contributing to building your image and impression on others, is invariably the sight of your workplace. It is perhaps the first thing that would strike any person interacting with you at your workplace. General neatness and an organizes workplace goes a long way in reflecting your personal effectiveness.

While you may have different kinds of workplaces, most can be effectively organized and made functional. Some may have a state of the art modular workstation, while others may just have a table and chair to work on. Whatever be the situation, you can always customize it. The objective is to have a workspace which is functional, convenient and which would provide small but important things within your reach when you need it and also have the frequently used items in place.

The following are some guidelines to create an organized workspace:

- Divide your soft board (if you have one) into functional areas for pinning up, say, project related charts, schedulers like planners, calendars, phone list, etc. and some space for putting up pictures, messages, etc.

- Remove unwanted pin-ups, old messages, etc. periodically

- Have a “Mail Bag” or “While i am out” boxes or envelopes pinned on the soft boxes or envelops pinned on the soft board for mails, messages etc. to be put in while you are away

- Have a “Today’s Schedule” pinned up and mention the place and phone number where you could be contacted during the day, in case you are out meeting clients

- Reserve one of the table drawers or a corner spaces for keeping items like stapler, pins, punching machine, scale, pencil, eraser, visiting cards, stick-on pad, etc.

- If a stapler is kept for use by a group of people at a common place, say, next to a printer, fasten it to a string to avoid it being misplaced

- Keep a bunch of unused printouts or recycled papers for taking down messages, scribbling, etc.

If you are only away for a couple of days make sure your cell phone and any other electronic equipment are fully charged so you can continue working at your convenience.

Infrastructure of an organization depends largely on the size of the organization and the nature of operations. For example, a large organization may have good physical environment and amenities, compared to small scale organization.

Similarly, an organization which is involved in software development and consultancy, would in all probability, have good infrastructure compared to an organization whose operations involve mainly end-user support and retailing and distribution of products.

Infrastructure not only covers the physical attributes like the office space, the decor, the hardware and the software platform available. it could also include manpower resources, financial resources, etc.

Many students, who join their first job, are invariably influenced by the available infrastructure in the organization. Care should be taken to evaluate the other aspects also. For example, an organization may not look physically impressive, but may offer immense learning opportunities and valuable experience in emerging technologies.

Roles in an organization

There are several roles available in the IT industry, However, in real life situation, one may not often get a clear cut role or clearly defined activities for the role. Roles often have a main focus and supplementary or additional objectives. For Example, a marketing executive may have his main focus as sales, but may have other tasks like giving  demonstrations, generating reports and vendor management for advertising and marketing.

Often, one may be required to simultaneously take up two or more roles, or take up different roles over a period of time.

For example, a person taken as a programmer, may also have to do maintenance programming, documentation, user training, giving demonstrations, trouble shooting, etc. it is also common that one is given different roles, periodically. In either case, it is not the role or the clarity of role that is important, but the fact that every role provides opportunities for learning and gaining experience and contributing to the organization.
